Hatsun Badminton Centre ("HBC", "we", "us", or "our") is a non-profit badminton academy operated by HAP Sports Trust, established under the Corporate Social Responsibility (CSR) initiative of Hatsun Agro Product Limited (HAP). 3.1 Information You Provide Directly
When you register, enrol, or interact with our services, we may collect:
Identity & contact information: Full name, date of birth, age, gender, email address, mobile number, residential address (door/flat number, street, area, district, state, pincode, country).Academic information: Education level, school board (State Board, CBSE, ICSE, NIOS, etc.).Parent / Guardian information: Father's name and mobile number, mother's name and mobile number.Photographs: Profile photographs uploaded during registration and any additional images captured during training sessions, events, or matches.Sporting profile: Years of badminton experience, programme enrolled (Beginner / Intermediate / Advanced / Elite), duration type, format preference (Singles / Doubles), tournament achievements, levels, categories, venues, years, and positions.Health information: Any physical or psychological medical conditions you voluntarily disclose to enable safe participation.Communication content: Messages, queries, or feedback sent to us via the Platform, email, or phone.3.2 Information Collected Automatically (Mobile App & Website)
Device information: Device model, operating system, OS version, unique device identifiers, mobile network information.Usage data: Features accessed, screens viewed, session duration, crash reports, performance logs.Log data: IP address, browser type, referring URL, pages visited, date and time of access.Push notification tokens: To deliver session reminders, schedule changes, and academy announcements.Cookies and similar technologies: Used by the Website to remember preferences and analyse traffic.3.3 Information from Third-Party Sign-In Services
If you choose to sign in using Google Sign-In (Google Workspace SSO) or another supported authentication provider, we receive your name, email address, profile picture, and a unique identifier from that provider, in accordance with the permissions you grant. We do not access your Google account contents (e.g., emails, files) unless explicitly authorised.
4. Children's Personal Data
A significant portion of our trainees are children (Under 10, Under 11, Under 13, Under 15, Under 17, and Under 19 categories). In accordance with Section 9 of the DPDP Act, 2023:
We process a child's Personal Data only after obtaining verifiable consent from the parent or lawful guardian.We do not undertake tracking, behavioural monitoring, or targeted advertising directed at children.We do not process children's Personal Data in any manner likely to cause detriment to the well-being of the child.Parents and guardians may, at any time, review, modify, or request deletion of their child's data by writing to our Grievance Officer (Section 13).5. Purposes of Processing
Service delivery: Processing registrations, scheduling sessions, assigning coaches, tracking attendance and progress.Communication: Sending session reminders, fee notices, event invitations, policy updates, and responding to enquiries.Health & safety: Ensuring appropriate training intensity based on disclosed medical conditions; emergency contact in case of injury.Performance tracking: Maintaining player records, achievements, and tournament results for the Hall of Fame and internal analysis.Promotional & media use: Featuring photographs and achievements on our Website, social media, and printed materials, subject to your consent.Legal & regulatory: Complying with applicable laws, responding to lawful requests, and protecting our legal rights.Platform improvement: Analysing usage patterns to improve the Website and App, fix bugs, and enhance user experience.6. Legal Basis for Processing
We process Personal Data on the basis of:

Withdrawal will not affect the lawfulness of processing carried out before withdrawal.
7. Sharing and Disclosure
We do not sell or rent your Personal Data. We may share data with:

Active trainee records are retained for the duration of enrolment and up to three (3) years after the last interaction.Tournament achievements and Hall of Fame data may be retained indefinitely for historical and promotional purposes, with consent.Financial and statutory records are retained for the period mandated by Indian tax and accounting laws.Once the retention period ends, data is securely deleted or anonymised.
9. Data Security
We implement reasonable technical and organisational safeguards including encryption of data in transit (HTTPS/TLS), access controls, secure cloud hosting, regular backups, and staff confidentiality obligations. However, no method of electronic transmission or storage is fully secure, and we cannot guarantee absolute security.10. Your Rights as a Data Principal
